## How the GST invoice generator works

Enter your business name, address and GSTIN, then your buyer's. The tool checks each GSTIN against the standard 15-character pattern (two-digit state code, the PAN, an entity number, the letter Z and a check character) and flags one that looks wrong. Typing a valid GSTIN also picks up the state from its first two digits.

Choose the place of supply. If it is the same state as yours, every line's tax is split into CGST and SGST (UTGST for union territories without a legislature); otherwise it is charged as IGST. This is the single most common invoice error, so the invoice shows which one applies.

Add your items with an HSN code (goods) or SAC (services), quantity, rate before GST and the GST rate for that line. Lines can carry different rates. The totals table adds up the taxable value, tax at each rate and the grand total, rounds to the nearest rupee and writes the amount in words in the Indian system of lakh and crore.

When it looks right, use Print / Save as PDF. Only the invoice is printed, on white, sized for A4. Keep the numbering continuous through the financial year, because GST rules require a unique, consecutive series.

## Worked example: Farah, a Pune web developer billing a Mumbai startup

Farah is registered in Maharashtra and builds a website for a startup in Mumbai. She enters both GSTINs, picks Maharashtra as the place of supply, and adds two lines: website development at INR 1,20,000 and annual hosting at INR 18,000, both under SAC 9983 at 18%. Because both parties are in the same state, the invoice shows CGST and SGST of INR 12,420 each and a total of INR 1,62,840, written out as 'One Lakh Sixty-Two Thousand Eight Hundred Forty Rupees Only'. She saves it as a PDF and emails it.

## Good to know

- A tax invoice must show: your name, address and GSTIN; a serial number unique for the financial year (up to 16 characters); the date; the buyer's name, address and GSTIN if registered; HSN or SAC; description, quantity, value, rate and amount of each tax; the place of supply; and a signature.
- HSN digits on invoices: 4 digits if your turnover was up to INR 5 crore last year, 6 digits above that. For B2C invoices under INR 5 crore turnover, HSN is optional.
- Businesses with aggregate turnover above INR 5 crore must generate e-invoices through the Invoice Registration Portal. A printed invoice from a generator like this one isn't enough for their B2B supplies.
- Issue the invoice before or at the time of removal of goods, and within 30 days of supplying a service.

## Frequently asked questions

Is an invoice from an online generator valid under GST?

Yes, if it carries all the details rule 46 requires: supplier and recipient details with GSTINs, a consecutive invoice number, date, HSN or SAC, taxable value, tax rate and amount, place of supply and a signature. GST law doesn't prescribe the software you use. Businesses above the e-invoicing threshold also need an IRN from the portal.

How do I decide between CGST plus SGST and IGST on an invoice?

Compare your state of registration with the place of supply. Same state means CGST and SGST at half the rate each; different states mean IGST at the full rate. The buyer's GSTIN state code is a good first guide for services to registered businesses.

What does a valid GSTIN look like?

Fifteen characters: two digits for the state code, ten characters of the holder's PAN, one character for the entity number, the letter Z, and a final check character. For example, 27ABCDE1234F1Z5 is a Maharashtra GSTIN.

Do I need the buyer's GSTIN on every invoice?

Only when the buyer is registered and wants input tax credit. For sales to consumers you can leave it blank, but for a supply of INR 50,000 or more to an unregistered buyer, the buyer's name, address, delivery address and state must still be shown.

Can I issue a GST invoice if I'm not registered?

No. Without GST registration you can't charge GST or issue a tax invoice. Issue an ordinary bill instead, and register once your turnover crosses the threshold: INR 40 lakh for most suppliers of goods and INR 20 lakh for services, with lower limits in some states.
